From Paper to Precision: Modernising Visitor Management at Dane Architectural Systems

The Client

Based in Newcastle upon Tyne, Dane Architectural Systems is a leading manufacturer of aluminium architectural glazing solutions, supplying high-quality systems for commercial and residential projects nationwide. With a strong national reputation built over more than half a century since its establishment in 1968, Dane Architectural operates from a busy site where security and operational efficiency are essential.

The NETR team has worked closely with Dane Architectural for over 22 years, supporting their evolving workforce management needs. Over that time, Dane Architectural has implemented several clocking-in solutions and currently relies on our Infinity software to manage time and attendance across the business.

The Challenge

While Dane Architectural’s employee time and attendance processes were well established, visitor management was still reliant on a traditional paper-based sign-in book. This approach made it difficult to accurately track visitors, posed challenges for health and safety compliance, and offered limited visibility in the event of audits or emergency situations.

Initial discussions explored whether visitor details could be managed within the existing Infinity system. However, it quickly became clear that Dane Architectural required a purpose-built solution – one that would boost security, improve efficiency at reception, and provide clear reporting and oversight of all site visitors.

The Solution

Following early conversations in March 2025, we arranged a live manufacturer demonstration of the InVentry Visitor Management System for Dane Architectural’s IT Manager, Craig Reilly, and his team in early April. The system immediately stood out for its comprehensive feature set, ease of use, and ability to integrate seamlessly into a modern workplace environment.

After further evaluation and internal discussions, Dane Architectural placed an order in June 2025. The next few months were spent preparing the necessary infrastructure, configuring the system, and coordinating delivery to ensure a smooth implementation.

The InVentry system was successfully installed in October 2025, delivering a fully digital visitor management solution. The system enables visitors to sign in quickly and professionally, captures accurate data in real time, and provides Dane Architectural with improved visibility, security, and compliance across their site.

The Result

Dane Architectural has now moved away from an inefficient paper-based process to a modern, professional visitor management system that reflects the standards of their wider operation. The InVentry solution has streamlined front-of-house processes, strengthened site security, and ensured visitor records are accurate and accessible.

For North East Time Recorders, the project further strengthened a trusted, long-term partnership built on understanding the client’s needs and recommending the right solution at the right time. By recognising when a customer requires more than a make-do approach, we once again delivered a system that supports both operational efficiency and future growth.

And in a fitting final touch, our Managing Director, Paul Dougherty, became the first official visitor signed in and on the new system. This was quite the apt milestone in another chapter of a more-than-two-decade partnership.
